CONVENTION CALL 2008

The 100th Annual Oklahoma Division Convention

United Daughters of the Confederacy will convene

June 13, 14, and 15, 2008

Cowskin Prairie Chapter #2611, Hostess Chapter 

All officers, chairmen, ex-presidents, honorary presidents, members and any visitors attending shall pay a Registration Fee of $5.00

All members registered for the convention shall be entitled to vote; they must be present to cast their vote.  No member shall cast more than one vote. 

All Chapters are required to pay a Convention fee of $10.00, whether a member or members are attending or not.  If you have not already paid this fee, please mail to Mrs. Jay Garland Faulkner, 8608 East 16th St. Tulsa, OK 74112-8246.  The Treasurer’s books will close fourteen (14) days before the convention. 

Each chapter is required to pay a per capita fee of $2 for each member of the chapter.  This per capita fee will be used to defray the costs of hosting the 2013 General Convention.  If you have not already paid this per capita fee, please mail to Mrs. Jay Garland Faulkner, 8608 East 16th St. Tulsa, OK 74112-8246.  The Treasurer’s books will close fourteen (14) days before the convention. 

CONFEDERATE FAIR 

Remember to bring your food donations and chapter basket for the Confederate Fair.  The Oklahoma Division will host the General Convention in 2013.  Funds from the sales at the Fair will be used to defray costs of hosting the 2013 General Convention.  Bring your items, identified with chapter name/number to the Registration table. 

 OKLAHOMA DIVISION CONVENTION INSTRUCTIONS

CHAPTER PRESIDENTS 

Each of you are obligated to your Chapter to attend the Division Convention.  Bring your members, for this is where you learn the work of our organization. 

COPIES OF THE CONVENTION CALL AND RESERVATIONS FORMS WERE MAILED TO INDIVIDUAL MEMBERS.

            You received all your report forms earlier.  Please be sure you have completed  and turned them in by the deadline, May 15, 2008. 

Your Chapter’s narrative report for the Minute (Proceedings) Book must be typed on the back of your Chapter Report Form – please be concise with your accomplishments.  Your oral report to be given at the Presidents and Awards Dinner should cover only the highlights of the past year’s activities and will be limited to FIVE (5) MINUTES.   

To be eligible for Division Awards, your YEARBOOK AND SCRAPBOOK MUST BE BROUGHT TO THE CONVENTION BY YOU OR A CHAPTER MEMBER. 

The Daughters Flags will be available for your use for presentation at the President’s Dinner.  Mrs. Judy Lowe, Custodian of Flags, will provide the Flags for your use at the Dinner.   

DIVISION OFFICERS

This report should be typewritten and double spaced.  Your oral report, given at Convention will be limited to FIVE (5) MINUTES.   

COMMITTEE CHAIRMEN 

Mail a copy of your report to the Division President and to the Division Recording Secretary, (Donna Drake, 9230 S.W. 24th Street, Oklahoma City, OK 73128-4931) by May 15, 2008. This report should be typewritten and double spaced; it must be 350 words or less.  Your oral report, given at the convention, will be limited to five (5) minutes

CHAPTER CHAPLAINS 

Please send a list of all members who died since the 2007 convention, giving the death date, to the Division Chaplain: Mrs. William Dale Haver, 54 Private Road 041 Eucha, OK 74342. 

OFFICERS AND CHAIRMEN 

ALL OFFICERS AND CHAIRMEN OF THE 2006-2008 ADMINISTRATION SHOULD SEND IN A FINAL REPORT TO THEIR RESPECTIVE GENERAL OFFICER OR CHAIRMAN BY September 1ST.   THIS IS THE ONLY WAY THE ACTIVITIES OF THE OKLAHOMA DIVISION WILL BE REPORTED.
